2. Information Officer
In compliance with POPIA, Pytora Digital has appointed an Information Officer responsible for overseeing our data protection practices and ensuring compliance with the Act.
Role: The Information Officer manages all requests for information and ensures that Pytora Digital adheres to the principles of lawful processing of personal information.

3. Your Rights Under POPIA
Under POPIA, you and your data subjects have the right to:
Access: Request confirmation of what personal information Pytora Digital holds about you, and to receive a copy of that information.
Correction: Request the correction or deletion of personal information that is inaccurate, irrelevant, excessive, or obtained unlawfully.
Objection: Object to the processing of your personal information on reasonable grounds.
Transparency: Receive clear information regarding the purpose for which we collect and process data through our automated communication and CRM systems.
Complaints: If you believe your rights under POPIA have been violated, you have the right to lodge a complaint directly with the Information Regulator of South Africa.

4. How We Process Personal Information
Pytora Digital processes personal information strictly for the purposes of delivering, maintaining, and improving the business systems and automation services we provide. We do not process personal information for any purpose beyond what is necessary to fulfil our service obligations.
Personal information is processed lawfully, with the knowledge of the data subject where required, and is never sold or disclosed to third parties outside of what is needed to operate the services you have commissioned.
5. Data Retention
We retain personal information only for as long as it is necessary to fulfil the purposes for which it was collected.
Client data is retained for the duration of the active service engagement.
Following the conclusion of a service engagement, personal information is retained for up to 12 months for administrative, billing, and compliance purposes.
After this period, personal information is securely deleted or anonymised unless a longer retention period is required by applicable law.
6. Data Security and Governance
Our governance approach relies on strict architectural standards to protect data integrity.
Data Validation: We implement error handling at every integration point to ensure data security and prevent loss during system processes.
Infrastructure: By using our own resilient, self-hosted automation infrastructure, we ensure that we maintain strict control over the data handling environment and privacy standards, independent of third-party policy shifts.
Data Isolation: Client automation layers are run within secure, dedicated virtual private server environments, keeping each client’s data isolated and protected.
